Automating Lighting Tower Control with LightPin Integration

Turn lighting on and off automatically using Additional Items and Charges connected to the LightPin system.

Introduction

This article explains how Hosts can automate the management of lighting towers at sporting complexes by integrating SpacetoCo with the LightPin lighting system (Software provided by lightapplication.com.au). This setup is ideal for venues using lighting towers that need to be turned on/off based on booking times.

When to Use This

Use this integration if:

  • You manage a sporting venue with lighting towers that is managed by LightPin.
  • You want to link lighting control to specific booking times.
  • You want lighting fees automatically invoiced through SpacetoCo.

How It Works

The integration uses SpacetoCo’s Additional Items and Charges feature combined with LightPin to automate lighting control. Here’s how it functions:

  1. If you are already linked to LightPin, the SpacetoCo Admin team will work together with Light Application to set up the items for you. We will double-check with you which lights you would like to integrate.
  2. When a Customer books your space, the lighting tower is automatically turned on and off at the times set in the Additional Item. This is done through LightPin periodically polling SpacetoCo’s API to check for the most up-to-date booking data.
  3. The lighting charge is automatically added to the booking invoice, just like any other Additional Items. You can also set up a schedule for when they need to be on (e.g. if someone books from 4pm-8pm, then you can set your schedule to only have the lights on from 6pm onwards).

Setup Steps for Hosts

Currently, only SpacetoCo admin are able to configure LightPin settings. We will need technical details such as group numbers and scenes. To avoid confusion, we will be liaising with Light Application to make sure that all these details are correct.

How we go about configuring the items and charges:

  1. Create an Additional Item and Charge on your space.
  2. Set it as mandatory or you can also add it manually before you approve the booking.
  3. At this point, SpacetoCo will help you set up the LightPin configuration.
  4. Once we’ve set up the LightPin configurations for you, you can change things such as price and schedule yourself, and attach them to the correct space.
  5. Test the setup by creating a test booking—lights should automatically activate and deactivate at the scheduled times.

FAQs

Q: Will the lighting still activate if a booking is cancelled?
A: No, the lighting is only triggered when a valid booking with the mandatory item is active.

Q: Can this work for casual and regular bookings?
A: Yes! As long as the Additional Item is added to the booking and synced with LightPin, it works for both.

Q: What if the LightPin is  unavailable?
A: In the event that the integration is not working, Light Application will provide a means of switching the lights on and off manually, usually by means of SMS
