Notifications to Expect as a Customer

A summary of automated email notifications sent to Customers on SpacetoCo.

This article outlines automated email notifications sent to Customers based on platform actions and events.

Note on timing indicators:

  • Delayed emails (dX): Sent after a specified delay time in minutes (e.g., d30 = 30-minute delay).
  • Batched emails (b): Grouped together so you do not receive multiple emails at once.

Casual and Regular Bookings

  • Casual or Regular Booking Pending (b): Sent when you submit a booking request awaiting Host approval. Includes answers to checkout questions.
  • Casual or Regular Booking Approved (b): Sent when a Host approves a booking, or when you book a Space with instant approval. Includes access instructions, Space rules, and checkout answers.
  • Casual Booking Receipt: Sent as a PDF when a casual booking is approved or confirmed via instant booking.
  • Casual or Regular Booking Declined: Sent if a Host declines a booking request. Includes the reason provided by the Host.
  • Casual or Regular Booking Expired: Sent if a Host does not respond to a booking request before it expires.
  • Casual or Regular Booking Cancelled (b) (d30): Sent when either you or the Host cancels a booking. Indicates who cancelled and the cancellation reason.
  • Casual or Regular Booking Updated (b) (d30): Sent when a Host updates booking details. Displays previous and new booking information.
  • Casual Booking Updated Receipt (d-72hrs): Sent as an updated PDF receipt 72 hours after a change or cancellation is made to a casual booking, provided no further updates occur.
  • Casual and Regular Booking Reminder (b): Sent on Sunday evening listing your upcoming bookings for the next seven days (Monday 12:01 am to Sunday 11:59 pm).

SpaceProtect Notifications

  • SpaceProtect Enabled (d30): Sent when a Host enables a SpaceProtect pre-event hold on a casual booking.
  • SpaceProtect Reminder: Sent seven days and one day before a pre-event hold is initiated.
  • SpaceProtect Changed: Sent when a Host updates the SpaceProtect hold amount.
  • SpaceProtect Successful: Sent when the pre-event hold is successfully placed.
  • SpaceProtect Failed: Sent if the hold fails. Includes the failure reason and next steps to resolve it within 24 hours.
  • SpaceProtect Cancelled: Sent when a Host cancels SpaceProtect, or when the booking is cancelled.
  • SpaceProtect Released: Sent when the hold is released without a claim.
  • SpaceProtect Claim Submitted: Sent when a Host submits a SpaceProtect claim.
  • SpaceProtect Claim Approved: Sent when SpacetoCo approves a SpaceProtect claim.

Regular Customers Only

  • Application Submitted: Sent when you submit a Regular Customer application awaiting Host approval.
  • Application Approved: Sent when a Host approves your application.
  • Application Declined: Sent when a Host declines your application.
  • Regular Invoice Notice: Sent on the 1st of the month, summarizing previous month bookings to be invoiced.
  • Regular Invoice: Sent on the 7th of the month with the finalized invoice for confirmed bookings.
  • Regular Invoice Failed Payment: Sent immediately if an automated invoice payment fails.
