Fine-tune your document workflows with due dates, reminders, and default messaging

Take control of your document collection process in SpacetoCo with advanced configuration options. Manage how and when document requests are sent, update default messaging, and streamline workflows, right from your dashboard.

When to Use This

Apply these settings when you want to:

  • Turn off default document collection as part of regular customer applications.

  • Set clearer expectations for when documents are due.

  • Automatically remind customers if they haven’t submitted documents yet.

  • Save time by pre-filling common messaging.

Document Collection for Regular Customers

By default, as part of the regular customer application workflow, there is a place for documents to be uploaded. 

Screenshot 2024-10-07 at 4.20.58 pmWith document management now being the best way to manage files/documents, you can simply turn off the collection of documents through the regular application workflow. 

Head to app.spacetoco.com/dashboard/host/verified?tab=settings and 'disable' this part of the application workflow.

'Due within'

Screenshot 2024-10-07 at 4.15.43 pmAssign a default due date range for each document template. This automatically applies a clear deadline to every new request, helping both Hosts and Customers stay on track. You can still adjust these dates manually before or after submitting a request.

Reminder Frequency

By default, customers receive reminder emails every 3 days until a document is submitted. You can customise this frequency on a per-document basis to better suit your timing needs.

Default Comment

When submitting a request to a customer for a document, you have the option to write a comment each time. You can now set the 'default' for this comment, saving you time on each request. The comment is still editable, so you can adjust it slightly before submission. 

Tips for Better Workflow

  • Eliminate redundant steps by disabling document prompts in the Regular Customer flow and managing everything via Document Management.

  • Stay proactive by setting realistic ‘Due Within’ dates and appropriate reminder frequency—this increases on-time document submissions.

  • Customize but save time with default comments, and tweak them as needed before sending.
